
Office Coordinator (2) (Part-Time)

Schedule: 20 hours per week, approximately 4 hours per day
Typical Hours: Flexible, generally 10:00 AM–2:00 PM or as needed
Compensation: $16.00 - $20.00 per hour (Determined by experience and qualifications)

Position Summary
Buffalo Juneteenth is seeking two dependable, organized, and community-minded Office Coordinators to support the day-to-day administrative operations of the organization. This part-time role is ideal for someone who is detail-oriented, professional, and able to manage multiple responsibilities in a fast-paced environment.
The Office Coordinators will serve as a key point of contact for visitors, callers, board members, and community stakeholders while helping ensure that office systems, records, communications, and materials are maintained effectively. This position plays an important role in supporting festival planning and administrative operations leading up to our huge 50th Anniversary Celebration Juneteenth 2026.
Key Responsibilities
The Office Coordinator will be responsible for the following:

Answer telephones, provide information to callers, take messages, and transfer calls to the appropriate individuals

Retrieve calls from the answering machine and forward messages to appropriate staff

Greet visitors and callers, respond to inquiries, and direct individuals to the appropriate person based on their needs

Create, maintain, and update information in databases and office systems

Use computers for a variety of administrative applications, including database management and recordkeeping

Operate office equipment such as copiers, fax machines, and phone systems, and coordinate repairs when equipment malfunctions

Maintain scheduling systems and event calendars

Prepare monthly reports as needed

Input receipts and transactions into accounting and recordkeeping software

Conduct online research and locate needed information, including making copies of advertisements and materials related to past festivals

Open, read, sort, route, and distribute incoming mail and other materials

Maintain the visitor log

Monitor and maintain inventory of office supplies

Complete administrative assignments as directed by the President or designee

Update forms and mailings related to Juneteenth sponsors, vendors, and volunteers

Attend board meetings as needed

Support other activities as necessary to enhance or advance the festival

Be available for the entirety of Juneteenth 2026 weekend

Preferred Experience
Preferred candidates may have:

Prior office administration, clerical, or receptionist experience

Experience with scheduling, recordkeeping, and data entry

Familiarity with accounting or bookkeeping support tasks

Experience supporting events, community programs, or nonprofit organizations
Work Environment
This is a part-time position requiring regular in-office administrative support. Hours are flexible but generally scheduled during daytime business hours, with occasional additional availability as needed. Candidates must also be available during the full Juneteenth 2026 weekend.
